- Open the PowerPoint file that you want to embed fonts, and then go to the menu to select “Preferences”. A dialog box will open, and then ubder the “Output and Sharing” option, click on “Save”.
- This problem occurs because the fonts that you used are either restricted fonts or cannot be embedded. Using the computer on which the presentation was created, follow these steps to replace the restricted fonts with fonts that can be embedded: Open the PowerPoint presentation. In PowerPoint 2010, Select File Save As.
- In Microsoft Office PowerPoint 2010 and 2013, follow these steps: Click Save As. In the Save As dialog box, click Tools, and then click Save Options. Click Save on the left side of the dialog box that appears. Click to select the Embed fonts in the file check box under Preserve fidelity when sharing this presentation, and then click OK.
Fonts are not just text. A fonts is a visual statement just like a carefully chosen image and other graphic elements. However, when designing corporate presentations that need to travel outside the organization, using a unique font is risky, no matter how beautiful it is. Most fonts can’t be embedded in a template so they must be installed locally for anyone to use and see these fonts. And even if you choose to embed the font, you might not have the rights to distribute the font. Mac versions of PowerPoint cannot use embedded fonts at all.
So when creating templates for a large group of users, you should keep your presentation safe by choosing any of the 44 fonts that are most commonly installed* in different PowerPoint versions.

The 44 safe fonts
For Subset embedded fonts when percent of characters used is less than: Set the percentage to 1%. For Embedding, select the folder with the fonts you want to embed from the drop-down list. Check Never Embed Font box and remove any fonts in the box. Embedding Fonts in a Word Document The way you embed fonts depends on the program you are using. Select the text you want to format/change and then select the font, size, style and color under the Font group. For additional font options, click on Format →Font. If you want to select all the text on a page, click on Edit → Select All. PowerPoint 2011 also allows you to select multiple sections of text simultaneously.
